Approval of 11/30/10 minutes



Veree Brown called for a motion to accept the minutes of the November 30, 2010 conference call. John Engelman moved that the November 30, 2010 minutes be approved. Ron Harris seconded the motion which carried.

Update on 2011 AOA and Trustee Elections


Veree reported that both elections are uncontested. Members of the nominated 2011 Association of Alumni slate have participated in one conference call which took place during the time-frame they drafted their respective bios and statements. Lynne Gaudet noted that the Association's constitution requires an election be held whether or not it is contested. The Balloting Committee selected to work with TrueBallot, Inc. again this year. AoA candidate bios and statements are currently on the web and alumni trustee candidates, Gail Boudreaux's and Bill Burgess' expanded bios/statements will be posted there in the next few days.
Discussion ensued regarding the financial cost of alumni elections. It was agreed that the current AOA Executive Committee recommends that when officially in office, the new Executive Committee form a subcommittee/working group which would review the current election practice of providing an online voting option and mailing paper ballots to all alumni, the constitutional requirement that there be an election even if candidates are uncontested, and the election process. They should keep in mind election expenses and consider options which might be in the best interest of alumni and the College.



Report from the Balloting Committee



Lynne reported the Balloting Committee (John Mathias, Ron Harris, Ron Schram, Kaitlyn Jaxheimer) had a conference call on January 14 during which they established the protocol for candidate bios and statements. John Mathias has also completed the cover letter to accompany the ballot material. The 2011 ballot will follow the design of the 2010 ballot.

Annual Meeting


The annual meeting of the Association of Alumni is April 9 in Silsby Hall at 11:00 a.m. During the meeting the results of the AoA election will be reported. The Board of Trustees will also be meeting the weekend of April 9 during which time they will act on the results of the alumni trustee election and vote on whether or not to approve the nomination of Gail Boudreaux and Bill Burgess as members of the Board of Trustees of Dartmouth College.

Other Items

The final draft of these conference call minutes shall be approved via email by the current AOA Executive Committee. Should it be felt that another conference call of the Executive Committee is merited, one will take place during mid-March.

Veree entertained a motion to adjourn the meeting. John Engelman made a motion to adjourn which was seconded by Ron Harris. The motion passed unanimously.
